Metagate has obtained the certification UNI EN ISO 9001:2015 for its Quality Management System. It is a strategic step that consolidates processes, roles and traceability on which we have been working for some time and which are now formalised in our Management System Manual!
ISO 9001 has made visible and verifiable the best practices we had already adopted.

Trust and speed for Metagate
With ISO 9001 Metagate becomes more reliable and faster: the clients trust more and contracts start earlier; in the tenders we score more points and submit more structured applications; in the awards we show real innovation; for the team there are clearer roles and methods. This structure makes XR projects more scalable without losing agility. Moreover by integrating AI we delegate to the AI agents the “paper work” (classifying, logging, archiving), turning bureaucracy into time saved compared to competitors and into valuable data collections for measurable and reliable outcomes. Thus we can stay focused on the added value we bring to the client in a process running on clear, defined and partially already automated tracks.
Why AI was decisive (and will continue to be)
We used Artificial Intelligence in two ways:

Formalising procedures better and faster
AI helped us move from draft to act: co‑writing procedural texts, consistency checks against the standard, normalisation of file names and codes (PR/MO), generation of check‑lists and linked evidence (HR, administration, cyber, projects). This accelerated document production and updating. -
AI agents on n8n for “augmented bureaucracy”
We are already at the next step: AI agents orchestrated on n8n that classify, log and automatically archive documents (orders, contracts, minutes, certificates, F24, time reports) into correct ISO folders with coherent naming and metadata, creating recurring reminders for deadlines and audits the next year.

Practical result: less time on paperwork, more time on value. For a startup, this means responding faster and better to clients and tenders while maintaining robust and traceable evidence.
AI—powered by n8n—then makes procedures faster, uniform and sustainable throughout the year. It’s the most effective way we found to transform “bureaucracy” into organisational energy: less friction, more impact.
Inside the control‑room: how Metagate’s n8n agents work
Our n8n orchestrator isn’t “perfect”, it is reliable. It takes everything arriving from Telegram (voice, text, PDF, images) and Email (text, PDF, images), transforms it into a clean package and assigns it to the right agent. The goal is simple: less bureaucracy, more traceability.
Pretend n8n is a switchboard: stuff arrives from Telegram or Email (messages, voice notes, PDF, photos) and the switchboard routes it to the right person—i.e. a specialised “agent”.
Who does what (in simple words)
- Invoices / F24 → checks basic data (account holder, deadline), assigns the correct file name, saves in the right folder, updates the accounting sheet.
- CVs → extracts role & skills, saves in HR, adds a line to the applications sheet.
- Compliance / Cyber → sends to Quality/Security, links to the registers (audits, incidents) and updates the evidence sheet.
- Internal communications → creates a recap, makes any tasks, logs everything in the register.
- Complaints → records who/what/when, opens a ticket and leaves the trace for corrective action.
- Administrative calendar → reads the deadlines and writes them in the calendar sheet with reminders.
Questions from Telegram
After archiving you can ask: “Unpaid invoices from September?”, “Latest cyber report?”, “CV with Unity?”. The agent responds with real data (links and sheet rows). No guessing, everything traceable.
What changes in everyday life
An invoice via email arrives → the agent understands it, renames it, saves it in the right folder “Invoices/2025/10”, adds extracted data to the sheet and triggers the liquidity macro.
A voice message on Telegram lets you query the databases: “have we ever met John?” “Yes you have his number in the address book and in the CRM the first meeting is recorded at last year’s event!”
In practice, the orchestrator acts as a tireless secretary: it listens, understands, sorts, archives and leaves you the breadcrumb trail (logs and links) you need for tenders, audits, awards and—most importantly—to work without chasing files. The “magic” is just method + automation: the way we turn bureaucracy into operational speed.
Result: less bureaucracy, more time to build XR experiences.
The real potential of AI is not in selling it but in applying it.
